Bookings and the desk

The Booking desk puts the day on one page: every booking in time order, the selected booking's card above the list, and the letters to clients and providers one click away.

What it does

Booking desk: the working day

The Booking desk shows one day at a time, in time order, each row coloured by its status and a line at the current time. Step through the days or pick one from the calendar, where days with bookings are marked. The foot of the page counts the bookings, the time they fill and how many sit in each status.

  • Edit a field on the booking card, or a cell in the list, in place
  • Select several rows and archive or delete them together
  • Deleted bookings go to the Recycle Bin first

New Booking and New Report

The window floats over the desk, so the list stays usable behind it. Tabs hold the booking, its parties and its paperwork. Save and exit, Save and new, or Save and copy for a run of similar services. Minimising keeps what you typed.

  • The reference is taken the moment the window opens and is never reused, even if you cancel
  • An end time before the start asks whether the service ends the next day
  • If someone else changed the booking meanwhile, the window names the fields before you save

Statuses: your colours, your meanings

Your company's statuses, in your company's colours, carried across from NDM. Work status and billing status come from one list. Each status has a meaning in your own words, with three switches: it confirms, it delivers or it closes. Rules read the meaning, never the name, so a status can be called whatever your desk calls it.

  • A status can free the space it held, for example a cancellation
  • A status is retired, never deleted, because bookings refer to it
  • Who may set which status is decided per role

Providers tab: many parties on one service

A live cross can need a truck, an uplink and a guest. Add every provider and guest to the one booking, mark the principal provider, and record each answer with an outcome and a time. Removing a party detaches it from this booking only; its record stays as it was.

  • Each provider gets its own request letter
  • An outcome such as a late cancellation can take a share off that party's bill; the booking's own status stays as it is

Space Chart and Space Checker

Satellite space is booked by transponder, and a main space can be split into sub-spaces that share it. The Space Chart draws the day as bars per space. An overlap is a warning, never a refusal, because a transponder can carry several carriers at once. The Space Checker lists every overlap for a space and a time.

  • The warning appears under the satellite field while you book
  • A cancelled booking is still drawn, but never counts as a clash

Confirmation and Request

The confirmation to the client and the request to the provider are live documents: the page is the letter, exactly as it will be sent. Hide a part or reword it for this letter only; the booking stays as it is. Preview marks nothing, and issuing again asks first and keeps the earlier letter on record.

  • Every letter carries your company's identity
  • Alt+C and Alt+R open the confirmation and the request for the selected booking
